The task
The useful output of a meeting is usually not the longest summary. It is an agreed decision, a named owner, and a date at which someone will check progress. Google Meet's documentation says its note feature can create a recap with decisions and next steps. It also warns that the summary can be incomplete or inaccurate. That combination calls for a review step before any generated sentence becomes a task.
The proposed workflow begins before the call: tell participants that notes will be taken, check the host and consent controls, and choose who should receive the document. A recap should not appear as a surprise in a sensitive conversation. The feature's availability depends on account and admin settings, so the fallback is an ordinary shared note taken by a person.
A proposed ten-minute closeout
After the meeting, read the decisions section against what participants actually agreed. Mark any disputed or tentative point as open. For each next step, add one owner, a deliverable, and a due date only if the date was agreed or can now be confirmed. A generated 'follow up with sales' is too broad; 'the project owner sends the revised scope to the client for approval' is testable once the owner confirms it.
Put actions in the team's task system, then link back to the recap for context. Do not maintain parallel action lists in the recap, a chat message, and a project board unless one is explicitly a copy. The proposed handoff is recap for evidence, task board for status. That division makes corrections possible without losing the conversation that led to the work.
- Confirm consent and sharing before capture.
- Review generated decisions and next steps with an attendee.
- Move confirmed commitments into one task system with owner and completion condition.
The friction to budget for
Names, negations, and tentative language deserve attention. 'We could ship Friday' is not the same as a Friday deadline. Silence after a generated recap is not approval. When a decision affects money, access, or external commitments, ask the responsible person to confirm the line explicitly.
The measure of success is not whether the recap reads well. It is whether people know what was decided and can find the next action without replaying the meeting. If review takes longer than the meeting saved, narrow the capture to decisions and owners instead of collecting more prose.
