Read the cited passage before using the synthesis

The task

A cited answer is easier to audit than an uncited one, but the citation is only a pointer. It does not prove that a sentence is a fair summary of the source. Google's help distinguishes NotebookLM's source-only grounding from Gemini answers that may also include web search and other tools. That difference matters when a team thinks it is asking a closed collection of documents a closed question.

The proposed workflow is deliberately small: define the source set, ask a narrow question, open every cited passage used in the final answer, and record what the source does and does not establish. For a policy memo, for instance, the useful question is not 'what is our policy?' but 'which version states the approval threshold, and where?' The example is a prompt design, not a report of a test.

A claim ledger

Keep a short table outside the generated answer: claim, source document, passage, document date, and confidence. If a claim depends on two documents, record both. If the source is an internal draft, label it as a draft. If the cited passage is silent on an important condition, write that silence down rather than filling it with a plausible sentence.

This is where the setup cost lives. Uploading documents is quick; making sure they are current, complete, and authorized for the task takes work. A source-grounded tool can faithfully synthesize an obsolete document. It can also produce a neat answer from a collection missing the exception that would change the recommendation.

1. Freeze the source set and note document versions.
2. Ask for narrow, checkable claims with citations.
3. Open the cited passage and log any missing condition or conflict.

The friction to budget for

Do not use citation count as a quality score. Five links repeating one company's announcement do not provide independent evidence. When documents disagree, the next task is to resolve authority and date, not to ask the model for a more confident synthesis. For external research, go back to the original publisher whenever possible.

The result worth keeping is a compact answer whose most consequential sentences can be traced to current passages. If that cannot be done, the honest output is an unresolved question with the missing source named. That is slower than pasting the first polished paragraph and much faster than correcting a decision made from it.
