Keep the source boundary visible when a notebook travels

The handoff

A research notebook can contain PDFs, documents, and other materials that are awkward to read as one stack. Passing that notebook into a conversational assistant can make the next question easier to ask. It also changes the source boundary. Google's help says NotebookLM answers are grounded exclusively in notebook sources, whereas Gemini answers using a notebook may also draw on web search and other tools.

That distinction is easy to lose when both interfaces show the same notebook name. The proposed handoff should therefore travel with a short instruction: which sources are approved, whether outside search is allowed, and what kind of output is wanted. A briefing based only on approved internal material is a different task from an outward-looking market scan.

A proposed transfer note

Before transferring, list the notebook's document titles and dates. If it includes audio or video-derived material, note whether a transcript or other text representation is present and whether the original media needs human review. State which facts must be quoted from their source and which may be synthesized. In the receiving assistant, inspect the cited passages and label any outside material explicitly.

Keep the final deliverable outside the chat as a versioned document with links back to the originals. A conversation is convenient for exploration but poor as the sole record of what source set informed a decision. Google's help also says deleting a notebook does not delete Gemini conversations that used it. That is another reason to treat the handoff as a separate record with its own retention and review choices.

2. State whether web or other tools may supplement them.
3. Check citations and save the final artifact with its source list.

The friction to budget for

Multimodal inputs can make the output feel unusually complete even when a slide, image, or recording carried context the generated prose missed. For consequential claims, return to the original medium. Do not assume that a fluent summary captured emphasis, speaker identity, or visual qualifiers.

The useful result is a handoff another person can audit: source set, allowed additions, output version, and unresolved questions. If those four pieces are absent, the second assistant may be productive while the team loses track of what it actually knew.

A good transfer note also names the intended reader. The same collection may support a private working summary and a public explanation, but the latter needs a more demanding check for permissions, context, and statements that might expose internal material.
